The admissions experience is the first window into that standard. The family's first message, first call, first tour — that is where BeCurious either earns or loses trust before a child has ever walked through the door.

The Role:
The Admissions Coordinator is the first voice a family hears from BeCurious.
This role manages the full admissions pipeline — from the first inquiry message to the signed enrollment. You are the person who makes families feel that choosing BeCurious is the obvious decision. You do not just respond to inquiries. You build a relationship with every prospective family, understand what they need, and guide them through the enrollment process with warmth, clarity, and professionalism.This is a high-communication, high-organization role. You will manage a live pipeline of active prospects at any given time across three branches. You will conduct tours, follow up with families, and work in Odoo every day. The pace is real. The reward is seeing families choose BeCurious because of how you made them feel.

Responsibilities:
Inquiry Management — The First Response:
  • Respond to all WhatsApp inquiries via the official BeCurious number within 2 hours during school hours — without exception.
  • Qualify every new inquiry: branch interest, child's age, programme preference, urgency, and language preference.
  • Tag and stage every lead in Odoo immediately — no lead sits untagged for more than 24 hours.
  • Book tour appointments for qualified families — confirm with a reminder 48 hours before and the morning of the tour.
  • Handle inquiries in Arabic and English at equal quality — whichever language the family prefers.
  • Manage the qualification Flow and welcome template sequences per the WhatsApp Parent Messaging System (09.4a).
Tours — Where Families Decide:
  • Conduct structured tours for prospective families at all three branches per the Admissions Tours SOP (01.1).
  • Open and close every tour with the four-stage model: welcome, discovery, presentation, next step — in that order.
  • Know the BeCurious curriculum and Curiosity Lens well enough to answer any parent question honestly and specifically.
  • Never give a generic tour. Every family sees the BeCurious that is relevant to their child's age, interests, and the branch they are considering.
  • Log every tour in Odoo within 2 hours of completion — outcome, notes, and the confirmed next step.
  • If the family does not enroll on the tour, a follow-up sequence begins immediately per the post-tour journey (09.4a Journey B).
Pipeline Management — The Discipline That Converts:
  • Own the Odoo admissions pipeline across all three branches — every lead is yours to move forward or close.
  • Review the pipeline daily — identify leads that are stalling, families that need a follow-up, and tours that have no outcome logged.
  • Follow up with post-tour families on Day 2 and Day 4 per the admissions sequence — not ad hoc, on schedule.
  • Flag incomplete registrations to the DOO within 48 hours of the deadline passing.
  • Track lead-to-tour and tour-to-enrollment conversion rates — report them to the DOO at the monthly branch review.
  • Maintain a monthly reactivation sequence for cold leads — one message, relevant to their situation, no pressure.
Enrollment Completion:
  • Guide enrolled families through the full enrollment package (07.1) — every form completed, every document received.
  • Collect and log consent forms — photography consent, communication consent, health information — in Odoo before the child's first session.
  • Ensure every new family receives the welcome sequence: class assignment, teacher introduction, session schedule, WhatsApp group invitation.
  • Hand off enrolled families to the Branch Supervisor and Lead Teacher — with a full context note in Odoo so nothing is lost in the transition.
  • Follow up with new families after their first week — one brief, warm check-in via WhatsApp.
Communication Standards:
  • All external communication is in BeCurious voice — per 06.2 Verbal Identity Guide. Warm, direct, bilingual, professional.
  • No personal phones are ever used for parent communication. The official BeCurious WhatsApp number is the only channel.
  • All templates used are from the approved library (09.4a). Non-approved messages require DOO review before sending.
  • Never promise something to a prospective family that BeCurious has not formally committed to. When unsure, check with the DOO first.

What This Role Is Not:
  • The Admissions Coordinator does not make financial decisions — fee structures, discounts, or payment arrangements are owned by the DOO and GM.
  • The Admissions Coordinator does not resolve parent complaints about enrolled children — those go to the Branch Supervisor.
  • The Admissions Coordinator does not modify the curriculum or make promises about how sessions will be run. Those conversations belong to the teaching team.
  • Your job is to get the right families to choose BeCurious — and to make the enrollment experience feel as premium as the school itself

  • Follow up without being pushed to — you track your own pipeline and you do not wait to be reminded | Need to be reminded to follow up or chased to close your actions.
  • Are bilingual Arabic-English and write at professional quality in both | Write informally or make errors in either language under time pressure.
  • Can hold a conversation about early childhood education with genuine knowledge and enthusiasm | Know little about early childhood and are not motivated to learn quickly.
  • Understand that tone is brand — every message you send is a BeCurious communication | Treat WhatsApp as informal and do not apply the same care to written messages as spoken conversations.
  • Are excited about the sales element of this role — conversion matters to you, and you want to be good at it | Are uncomfortable with the idea that your work directly influences enrollment and revenue.

Qualifications and Experience:
Required:
  • Minimum 2 years of experience in admissions, customer relations, sales, or a high-communication client-facing role.
  • Bilingual Arabic and English — professional quality in both, spoken and written.
  • Demonstrable experience managing a pipeline or lead list in a CRM or structured system.
  • Excellent written communication — you will be assessed on this during the application process.
  • Kuwait residence and valid civil ID — this is an in-person role across three branches.
Strongly Preferred:
  • Experience in a school, preschool, nursery, or family services environment.
  • Familiarity with Odoo or another school management / CRM platform.
  • Experience using WhatsApp Business for structured client communication.
  • Genuine knowledge of or interest in early childhood education — you are speaking with parents making significant decisions about their children.
  • Experience conducting property or service tours — you know how to read a room and adapt your pitch.
